Box Announces New Capabilities in Box Relay to Automate and Digitize Business Processes Across the Enterprise

Introduces a library of templates to simplify workflows in sales, marketing, HR, legal, finance, and more

Box, Inc., a leader in cloud content management, today announced improvements to its workflow engine, Box Relay, to automate and accelerate processes around content. The new Relay capabilities include a new library of pre-built templates to make it easier for end users to create workflows without IT support; additionally, Box introduced an integration with File Request and the addition of multi-file support.

Box Relay automates everyday processes like digital asset reviews, work order submission approvals, regulatory reporting approvals, and grant reviews. Rolled out in June 2019, Box Relay includes all the benefits of the Box Cloud Content Management platform, including advanced security and compliance, rich Box Platform APIs, pre-built productivity integrations, and user-friendly collaboration features.

Introduction of Pre-Built Templates to Simplify Workflows in Every Department

Today, Box introduced pre-built templates in Box Relay for common workflows in every department – sales, marketing, HR, legal, finance, and more. The Box-published templates enable users to easily build a workflow in minutes, saving time on manually building them from scratch. A new welcome page allows users to create a new workflow or select from a library of Box-published modifiable templates, which comprises 24 common line-of business use cases. Users can easily modify workflow steps, add pointers to related content, quickly include the right collaborators and task assignees, and kick off the workflow. Templates enable users to fast-track the automation of simple and common business processes, while building in best practices for designing workflows.

For example, legal teams can choose from templates to review and approve customer contracts, finalize patent submissions with external counsel, and handle review of sensitive external communications. Pre-built templates empower users to build workflows that best suit their needs while freeing up valuable and often overloaded IT resources.

File Request Integration with Box Relay to Streamline Workflows

The integration of File Request into Box Relay streamlines workflows end-to-end, from content submission to automated downstream processes. File Request, released in May, provides customers with a secure way to get files and metadata from external partners and vendors. With this integration, there is now an automated handoff between File Request and Box Relay workflows. A Relay customer will now be able to associate a previously configured File Request to act as a trigger for a Relay workflow. Further, they can specify conditions on the submitted metadata to appropriately route and process the submission.

For example, when a vendor uploads their completed application into a designated intake folder on Box, a Relay workflow is automatically triggered. The workflow moves the application to specific folders based on the requested metadata and assigns tasks with deadlines to individuals and teams to review and approve. This enables a virtual and digital experience in lieu of in-person exchanges and paper-based processes while significantly reducing turnaround times.

Addition of Multi-file Support to Accelerate Workflows

Today, Box also announced the addition of multi-file support for Box Relay workflows, which enables users to package multiple pieces of content together to move in lockstep through a workflow as one entity, including assigning a single task for review and approval. Multi-file support simplifies document handling for business processes that involve multiple files such as product launches, vendor applications, and expense reports.

For example, the Human Resources department might need to process multiple documents such as a completed application form, a note from a medical provider, and form of ID for a leave of absence application or benefit claim for their employees. The addition of multi-file support simplifies the process by routing the package of files through a single workflow so the HR team can review and approve with one click.
